Who We Are

WhosOnNext acts as the data processor for player queue data on behalf of each venue, who is the data controller for their own customers. For venue account data (pub name, admin contact, billing), WhosOnNext is the data controller.

What We Collect

From venues: pub name, contact email, an admin passkey, and table/venue setup details.

From players: whatever name or alias they choose to enter when joining a queue. We don't require or ask for real names, phone numbers, or any other identifying detail from players.

Automatically: basic technical data needed to keep the queue working in real time (e.g. a session identifier), and standard server logs for security and abuse prevention.

How We Use It

We process this data to provide the queue service itself, to manage venue subscriptions and billing, to respond to support requests, and to keep the service secure and working as intended.

Our legal basis is performance of a contract (running the service you or your venue signed up for) and, for security/abuse prevention, legitimate interest.

Sharing & Sub-processors

We don't sell data, and we don't share it for advertising or marketing purposes. We use a small number of trusted providers to run the service:

Some of these providers may process data on servers outside the UK/EEA. Where that happens, it's covered by their own standard contractual safeguards for international transfers.

Retention

Player queue entries are temporary and are automatically cleared once a session ends or after a short inactivity period - they aren't kept long-term.

Venue account data (pub name, contact email, billing history) is kept for as long as the account is active, and for a reasonable period afterwards to meet accounting and legal obligations, after which it's deleted on request or on a routine schedule.

Your Rights

Under UK GDPR, you have the right to access, correct, delete, or restrict the personal data we hold about you, and to ask for a copy of it in a portable format. To exercise any of these, contact [email protected] and we'll respond promptly.

If you're unhappy with how we've handled your data, you also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.

Cookies & Similar Technology

We use only the strictly necessary technical storage needed to keep a queue session working (e.g. remembering your place in the queue or an admin login state). We don't use advertising or third-party tracking cookies.

Changes to This Policy

We may update this policy as the service evolves. If we make a material change, we'll update the date at the top of this page, and notify venue admins by email where the change meaningfully affects how their data is handled.
